Organization Policies & Community Guidelines

Introduction

All statements set forth in these policies have been already in practice since the establishment of SL ISO (August 2022) and were officially documented and published for the attention of all members on July 11, 2026, at 12:00 PM SLT.

None of the provisions contained in this document are part of a newly introduced system. Rather, they represent a detailed written reflection of the operational procedures, practices, and dedicated efforts that have consistently been carried out by the SL ISO Management and all volunteer collaborators throughout the years.

The purpose of the new organizational approach is solely to restructure the existing workflow and practices into a more practical and accessible framework through improved organizational materials. (Update: Saturday, July 11, 2026)

SL ISO Organization Policies & Community Guidelines

1. General Principles

SL ISO is a community founded upon the principles of volunteerism, sharing, mutual respect, reliability, teamwork, and professionalism. Every Musician-Actor is an integral part of the orchestra and contributes to creating a consistent, high-quality, and engaging concert experience for both fellow team members and audiences.

 

To help maintain these standards throughout the concert season, all Musician-Actors are kindly expected to remain attentive to and supportive of the principles outlined below.

 

Volunteerism

 

Participation in SL ISO is entirely voluntary. By choosing to become a member of the orchestra, each participant is considered to have accepted the responsibilities associated with membership. These responsibilities have been established with consideration for the nature of the Second Life platform, the balance between virtual and real life, and the goal of ensuring that expectations remain reasonable and accessible for everyone.

 

Reliability

 

Each member is expected to exercise reasonable care in fulfilling the responsibilities they have undertaken. If their availability or plans change, they are expected to inform their relevant Stage Coordinator as early as possible, or before the concert whenever feasible.

 

Situations that cannot be communicated in advance will be met with understanding, provided they are communicated afterward as soon as reasonably possible during the concert season. (10 months)

 

Respect

 

All members are expected to treat fellow Musician-Actors, Stage Coordinators, Management members, sponsors, guests, and audiences with courtesy and respect at all times. Throughout the organization and concert season, maintaining positive communication and a solution-oriented approach is regarded as one of SL ISO's core values.

 

Teamwork

 

The success of SL ISO is built upon teamwork rather than individual performance. Accordingly, members participating in concerts are expected to support one another, communicate constructively, and work together toward shared goals.

 

Professionalism

 

Although SL ISO is a volunteer-based community, it strives to prepare and present its concerts according to professional standards. Accordingly, all members are kindly requested to conduct themselves in a manner consistent with this approach throughout rehearsals and concert activities.

 

At the same time, in keeping with its volunteer-based philosophy and its distinction between Second Life (the virtual world) and real life, SL ISO never requires its members to attend any event or meeting other than those directly related to concert participation requirements and procedures.

 

Responsibility

 

Each Musician-Actor is expected to arrive prepared for the concerts they have committed to attend, follow the instructions provided by the Stage Coordinators and the Concert Script, and exercise appropriate care in complying with the established procedures in order to contribute to the smooth and successful presentation of each concert.

2. General Communication

One of the fundamental principles behind SL ISO's success is maintaining healthy and positive communication. Every member, including Musician-Actors, Stage Coordinators, Managers, and the Founder, is responsible for regularly following the SL ISO | Musician-Actors in-world group, official announcements, notecards, and information shared by the Stage Coordinators.

The official communication channels are as follows:

 

SL ISO | Musician-Actors (In-world Group)

(For Musician-Actors and Stage Coordinators communication)

▶ All concert calls and updates concerning Musician-Actors are shared through this group.

▶ Musician-Actors may use the group's Group Chat feature to communicate with one another, Management members, and Stage Coordinators.

▶ Stage Coordinators may use the group's Group Chat feature to communicate with Musician-Actors and respond to their questions.

▶ Stage Coordinators may use the group's Notification feature to provide official updates and announcements to Musician-Actors.

▶ Membership in this group is mandatory for all Orchestra Management members and Stage Coordinators.

▶ Membership in this group is mandatory for all Musician-Actors.

 

SL ISO | Management (In-world Group)

(For Management and Stage Coordinators communication)

▶ Communication between SL ISO Management and Stage Coordinators, internal meetings, and important organizational updates are conducted through the Group Chat and Notification features of the SL ISO | Management group.

▶ Participation in the meetings referenced above applies exclusively to SL ISO Management members and Stage Coordinators. (More Info: ...)

▶ Membership in this group is mandatory for all Orchestra Management members and Stage Coordinators.

 

SL ISO | Concerts & Events (In-world Group)

(For public and audience announcements)

▶ Concert announcements, events, special invitations, promotional activities, and marketing communications are shared with the SL ISO audience and followers through this group.

▶ Musician-Actors and Stage Coordinators who wish to do so may also follow SL ISO events organized outside of the main concert season through this group.

▶ Membership in this group is mandatory for all Orchestra Management members.

3. Management Team & Other Groups

Founder & Artistic Director

 

Works in collaboration with the Supervisor, Marketing & PR Manager, Communications Editor, Hall Manager, Lighting Manager, and Technical Team to define, coordinate, and oversee all core organizational operations. Communicates directly with all collaborating parties to identify organizational needs and ensure that the necessary resources and requirements are provided.

Technical Team

 

▶ Audience seating arrangement and seating coordination.

▶ Stage lighting and visual effects.

▶ Reservation system and reservation management.

 

Stage Manager

 

▶ Obtains status updates from the Stage Coordinators during each concert period (the month in which the concert takes place).

▶ Organizes a meeting with the Stage Coordinators once each month.

▶ Actively manages the concert registration system and provides assistance to the Stage Coordinators whenever necessary.

 

Communications Editor

 

▶ Reviews official SL ISO announcements before publication.

▶ Ensures consistency in language, tone, grammar, and formatting. Proofreads policy documents, applications, website content, and notecards.

 

Stage Coordinator

 

▶ Responsible for communication with Musician-Actors, stage and performance orientation, and coordination of the instrument sections.

▶ Updates concert registration records based on participation requests.

▶ Attends the monthly meetings organized by the Supervisor.

Musician-Actor

▶ Responds to communications from the Stage Coordinator and remains in regular contact with the assigned coordinator.

▶ Regularly checks the SL ISO | Musician-Actors in-world group during concert registration periods.

▶ Reviews the Concert Script before each concert.

4. Organization and Concerts

Concert Call

 

The concert call is initiated by the Stage Coordinators and Management one (1) month prior to the relevant concert. The concert call schedule for each season is established every August and shared with the Stage Coordinators. Throughout each registration period, Stage Coordinators send only two (2) instant messages and notecards. During the same period, SL ISO Management publishes only two (2) in-world group notifications. The Supervisor is responsible for overseeing the organization and distribution of all concert calls.

 

Concert Registration

 

The concert registration period begins one (1) month before the relevant concert with the official concert call issued by the Stage Coordinators.

The registration deadline concludes once all available stage positions have been filled. This deadline is determined by the Supervisor and the Artistic Director based on stage preparation requirements and the available performance capacity.

 

Stage Capacity

 

The maximum stage capacity is generally limited to fifty (50) Musician-Actors per concert. However, this number may vary depending on specific circumstances and operational requirements. Any decision regarding the final stage capacity and its structure rests solely with the Supervisor and the Artistic Director.

A sample stage configuration is provided below:

  • Clarinet Section: 2 Musician-Actors

  • Oboe Section: 2 Musician-Actors

  • Bassoon Section: 1 Musician-Actor

  • Trumpet Section: 2 Musician-Actors

  • Trombone Section: 2 Musician-Actors

  • Saxophone Section: 2 Musician-Actors

  • French Horn Section: 2 Musician-Actors

  • Piano, Marimba, Harp, Congas, Timpani, Drum: 1 Musician-Actor each

  • Acoustic Guitar, Electric Guitar, Bass Guitar, Jazz Guitar and Drum: 1 Musician-Actor each

When processing concert registrations, the Stage Coordinator gives priority to the first Musician-Actors who respond, based on the available capacity for each instrument section.

Once an instrument section has reached its capacity, any subsequent Confirmed responses received for that section are recorded as Confirmed Late, together with the date and time the response was received.

When the final concert lineup is prepared by the Supervisor and the Artistic Director, Musician-Actors listed as Confirmed Late may be assigned to available positions created by vacancies in other instrument sections. These assignments are made in chronological order, beginning with the earliest Confirmed Late registration.

Concert call schedules and performance dates are shared with all SL ISO orchestra members at the beginning of each season. Musician-Actors are expected to monitor these periods carefully.

Musician-Actors who select "Notify me about concert calls." in the application form will also receive concert call notifications by email. The email channel is used exclusively for this purpose. No other announcements or organizational communications are distributed via email.

 

Concert Status

 

A Musician-Actor's concert status is determined according to the response provided to the relevant Stage Coordinator.

This status reflects whether the Musician-Actor will participate, will not participate, or—depending on registration capacity—the timing of their response, whether it was submitted on time, after capacity was reached, or not submitted at all.

▶ No Response

If no communication has been received by the Stage Coordinator following the concert call, the Musician-Actor's status is recorded as No Response.

Recognizing the nature of the Second Life platform and the balance between virtual and real-life responsibilities, SL ISO allows members the opportunity to explain their absence at a later time without unnecessary follow-up during the season. As long as a reasonable explanation for the lack of communication is provided during the season, the situation will be treated with understanding, and the Stage Coordinator will continue to manage the process accordingly.

 

Musician-Actors who remain in No Response status for at least three (3) concert calls during a season, without providing either a positive or negative response, will be removed from the active roster for the following season.

▶ Confirmed

This status is used when a Musician-Actor confirms participation in the concert before the instrument section has reached its capacity and before the applicable registration deadline.

A Confirmed status indicates that the Musician-Actor has secured a place in the concert lineup with their primary instrument.

▶ Confirmed Late

This status is used when a Musician-Actor confirms participation after the instrument section has reached its capacity or after the applicable registration deadline has passed.

A Confirmed Late status means that participation in the concert depends entirely on the availability of positions within other instrument sections.

 

The date and time of each Confirmed Late response are recorded by the Stage Coordinators. When vacancies become available in other sections, assignments are made according to the chronological order of these records. Priority is always given to the Musician-Actors who entered the Confirmed Late list first.

▶ Unavailable

This status is used when a Musician-Actor informs the Stage Coordinator that they will be unable to participate in the relevant concert.

If the member's circumstances later change and they notify the Stage Coordinator that they are available to participate, they will be added to the Confirmed Late list if their primary instrument section has already reached capacity.

If capacity has not yet been reached, their participation will be evaluated based on the remaining stage availability.

▶ Left With Notice

This status is used for Musician-Actors who inform SL ISO that they will be unable to participate in concerts for the remainder of the current season.

 

Stage Setup

 

Each instrument seat on the SL ISO stage is assigned to the corresponding Musician-Actor through a dedicated hover text script. The seating assignments used for each concert are determined by the Supervisor and the Artistic Director according to the concert registration list and the available stage capacity.

Although there is no fixed rule governing these assignments, a Musician-Actor's seating position within their instrument section may vary from one concert to another. However, except where required by the stage setup, stage aesthetics, or another significant operational necessity, the instrument section assigned to the Musician-Actor in the Concert Script will remain unchanged. The Supervisor is responsible for communicating seating assignments to the Musician-Actors.

While this situation most commonly occurs within the Strings Section, Musician-Actors may occasionally be asked to assist by covering single-performer instruments, such as the Harp, Marimba, or Drum, if those positions become vacant.

 

Concert Script & Orchestra Crew

 

After the stage setup and concert lineup have been finalized, a document entitled Concert Script is prepared before each concert and distributed by the Stage Coordinators to all Musician-Actors participating in the performance.

The Concert Script includes, but is not limited to, the following information:

▶ Recommendations for reducing lag.

▶ A list of individuals assigned specific responsibilities during the concert, together with their role descriptions.

▶ Important information to review before arriving on stage.

▶ A detailed schedule covering the period from the official Arrival Time through the conclusion of the concert.

▶ The concert song order.

▶ The final stage lineup.

Only the Orchestra Crew List for each concert is shared in the SL ISO | Musician-Actors in-world group after the stage lineup has been finalized by the Supervisor.

The Orchestra Crew List appears at the end of the Concert Script. Musician-Actors participating in the concert obtain the complete Concert Script directly from their Stage Coordinators via in-world instant message.

Guidelines During the Concert

▶ Arrive on stage at the designated Arrival Time on the day of the concert.

▶ Follow the dress code established for the concert.

▶ Attend the rehearsal scheduled approximately one week before the concert whenever your availability permits. Participation is encouraged but remains flexible based on personal availability.

▶ Remove all HUDs and unnecessary scripts from your avatar before arriving on stage.


 

▶ Avoid unnecessary animations, movements, or distracting behavior, in keeping with the discipline and presentation of a classical symphony orchestra.

▶ Refrain from using particles or visual effects that may negatively affect lag during the concert.

▶ Unless prevented by a real-life emergency or a health-related issue, remain on stage for the duration of the performance.

▶ In the event of a real-life emergency or an unexpected disconnect (crash), you may return to the performance by teleporting backstage and rejoining the concert without walking across the stage.

5. Additional Terms

Code of Conduct

 

SL ISO is committed to maintaining a safe, respectful, and inclusive community. Insulting, discriminatory, harassing, intentionally disruptive, or otherwise inappropriate behavior that negatively affects teamwork or the community environment will not be accepted. Any differences of opinion should be addressed respectfully and resolved through constructive communication.

 

Responsibility for Representing SL ISO

 

During concerts and other official SL ISO events, Musician-Actors represent not only themselves but also SL ISO as an organization.

Accordingly, all members are expected to maintain a professional, respectful, and courteous attitude toward our sponsors, partners, guests, audiences, and fellow participants at all times.

 

Active Membership & Loyalty (New Initiative)

 

SL ISO is committed to maintaining an active and reliable team structure.

Members who remain inactive or out of communication throughout the season without prior notice may be removed from the active roster in order to keep the team current and sustainable.

Musician-Actors who have dedicated at least three (3) years to SL ISO and have actively participated in its performances are recognized during the season-ending cocktail reception. Their names are announced, they are presented with a personalized gift box containing gift cards from various well-known brands as a token of appreciation, and they are honored with the presentation of the SL ISO Experienced Actor plaque.

 

Season-End Evaluation

 

At the conclusion of each season, members' overall participation, communication, reliability, and contribution to teamwork may be reviewed.

This evaluation is not intended to measure artistic performance. Rather, its purpose is to help maintain an active, dependable, and sustainable team structure for the following concert season.
